Work Order Coordinator
What is the Work Order Coordinator (WOC) Role?
At Big Bear Vacations, the Work Order Coordinator helps keep our maintenance work organized and on track. This person works closely with our maintenance technicians (operators) and our property management system (Streamline) to make sure all work orders are completed correctly and on time.
What is a Work Order?
Work orders are tasks that need to be done at our properties, like repairs or inspections. These go through three main stages:
Pending


These WOs haven’t been assigned yet.


Your job: Review these and assign them to the right technician based on location, skill set, and schedule.


Active


These WOs are currently in progress.


Your job: Make sure each WO has a clear plan, the assigned technician has what they need, and the job is progressing.


Often, you’ll need to contact the owner’s account manager to get approval for purchasing parts or hiring an outside vendor.


PFC (Pending Final Close)


The job is complete, but the WO still needs a final review.


Your job: Review the description of the work done, check the photos, remove anything unnecessary, and ensure it is presented clearly and professionally before sending it to the property owner.


In this step, you also review and apply the appropriate charges,deciding whether the cost should be billed to the owner, the guest, or applied as an owner credit.



Your Daily Responsibilities


Review and assign new (pending) work orders to the right technician.


Check active WOs daily to confirm they’re being handled properly and none are older than 30 days.


Review and close PFC WOs, making sure descriptions and photos are professional and appropriate.


Prepare daily reports, including:


The number of active WOs


Maintenance team schedules


Work orders past their expected completion dates




Update the GPS system weekly with new properties and remove properties that are off program. Ensure all technicians use it daily and it works correctly.


Maintain daily communication with:


Maintenance technicians (via Microsoft Teams)


The Remote Operations Assistant Manager (for updates and coordination)




Review the productivity report from the previous day to identify any issues or delays with technician performance.



Skills You’ll Need


Strong time management and organizational skills


Ability to manage multiple tasks at once


Strong problem-solving skills


Clear written and spoken communication in English (to clean up work order descriptions and clearly communicate with technicians and teammates)


Ability to adapt to seasonal workload changes


Comfortable with daily communication and follow-ups


English comprehension is required; Spanish comprehension is a great additional asset

Current State: We currently have an app in production that was built on Next.js, React, Typescript and we use Voiceflow, Make.com, HubSpot API, and EverSign API to handle this process (www.claimforge.ai/google). We need to migrate away from Voiceflow and Hubspot, make the application more robust, improve ease of data collection accuracy with Google Ads API integration, and create a scalable and flexible platform.

Business Workflow Requirements
The platform must support the following 6-step client workflow:
Step 1: Frictionless Data Collection
App collects the following information for each client using the most frictionless approach possible, leveraging Google Ads API for automatic data population. If clients cannot or prefer not to log into Google Ads, provide a manual input fallback with TypeForm-style interface:
• Legal business name(s)• Authorized Signatory for each business • Authorized Signatory email address• Authorized Signatory address• Business phone number• Google Ads IDs (GAID) for each business• Email account(s) associated with the GAIDs for each business• Amount of spend on Google Ads since 8/1/16 for each business
Currrently we use an AI chatbot powered by Voiceflow to collect client information. We would like to switch to a simple form based approach for this data collection. 









Step 2: Automated Document Generation
Once information is collected, client receives a link and email with retainer agreement for electronic signature via EverSign API, pre-filled with collected information.



Step 3: CRM Integration
Information collected from users is automatically stored and reflected in HubSpot CRM system in appropriate pipeline stages. Completed retainer agreements are also stored and reflected in CRM. 



Step 4: Referral Source Tracking
System stores and reflects in CRM what referral source brought the client to us for accurate attribution and partner management.



Step 5: Daily Export Processing
Ability to export completed client information to Excel spreadsheets with signed retainer agreements organized in individual daily folders for upload to law firm partners handling litigation.



Step 6: Partner Distribution Options
Provide referral partners with two options:• Direct link with URL parameters for referral tracking • Embeddable widget for installation on their websites
Key is having a central management system where we can update question flow and retainer agreement, with changes automatically reflected across all partner installations.

5+ years of experience as a MySQL DBA, preferably within the music or entertainment industry.
Strong knowledge of SQL, including SQL tuning, DB performance tuning and optimization techniques.
Solid grasp of DB development concepts, including data modeling, schema design and dimensional modeling.
Proficient in Python. 
A big plus is knowledge of Redshift, DBT, Dagster, Airflow, AWS, DMS, Terraform, and Redis.
Strong problem-solving skills, with the ability to troubleshoot complex data issues and implement effective solutions.

We're seeking a Growth & Lifecycle Marketing Manager to own day-to-day execution of full-funnel experimentation and optimization across our core business and new Marketplace launch initiatives. What You'll Do
CRO & Funnel Optimization


Execute continuous testing on ClickFunnels/Webflow pages, email campaigns, and in-app flows


Prioritize tests that improve click-through rates, conversion rates, and customer acquisition cost efficiency

Review work products, provide constructive feedback, and collaborate on iterations to achieve optimal results

Team Leadership


Mentor, assign work to, and project manage the Marketing Specialist to support their professional development and deliverable completion


Partner with the Senior Digital Marketing Manager to develop and document departmental SOPs and best practices


Independently identify optimization opportunities across marketing channels, develop test hypotheses, design experiments, and define success metrics


Success Metrics 


Testing Velocity: Execute 5+ meaningful A/B or multivariate tests per month across funnels, and lifecycle campaigns


Performance Lifts: Achieve 10%+ landing page conversion rate improvement on priority funnels and 5-10% email activation lift on lifecycle sequences


Marketplace Enablement: Launch CRO onboarding flow and first affiliate enablement package


Channel Quality Control: Deliver and manage customer lifecycle email, sms and in-app sequences that drive activation, engagement and retention.


Analytics Excellence: Complete tracking audit and implement reporting dashboards


Quality & Process Standards: Maintain consistent brand voice and quality across all delivered assets. Demonstrate self-starter ability, and strong project management with on-time delivery of all commitments.


What We're Looking For
Required Experience


3-5 years of hands-on growth marketing or performance marketing experience


Proven track record of managing and optimizing marketing funnels


Experience with marketing automation platforms (HubSpot and GoHighLevel preferred)


Proficiency in landing page builders (ClickFunnels, Webflow, GoHighLevel)


Strong analytical skills with experience in Google Analytics and marketing attribution


Direct response copywriting capabilities


Experience managing external agencies and vendors
